Overview

Intuit’s Sales organization is looking for a confident and outgoing Executive Assistant to be a strategic business partner to either a VP and additional directors or up to 3 Directors and a team who thrives for excellence in assisting multiple teams to be efficient, productive and flawless for our customers.

What you'll bring

  • Minimum of 5+ years working at the Executive administrative level, effectively supporting multiple leaders at one time

  • Advanced Outlook calendar management is critical

  • Expert level knowledge of Windows desktop computer applications, Microsoft Office (Word, Excel, PowerPoint), Google Docs (Slides, Excel and Word), Box skills

  • Strong organizational skills

  • Exhibit administrative leadership on the team

  • Ability to act quickly from one task to another, seamlessly and professionally

  • Ability to perform under pressure and against tight deadlines

  • Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast paced environment

  • Be highly proactive and take ownership to anticipate needs and adept at managing-up and downstream to ensure deliverables are met timely and accurately

  • Excellent verbal and written communication skills including the ability to communicate with all levels of the organization

  • Proven experience working in a fast-pace environment while providing superior service levels

  • Must be able to work independently, have a commitment to high levels of customer service and excel in a deadline-driven environment that involves multiple, simultaneous projects

How you will lead

  • Proactive management of heavy and complex calendars and scheduling to support teams based on a thorough understanding of business priorities

  • Plan, coordinate, and ensure schedule is followed and appropriately prioritized; keeping them well-informed of upcoming commitments and responsibilities, following up appropriately

  • Manage expense report coordination and submission

  • Event planning to include support for large meetings, off-sites and team building events

  • Travel coordination and arrangements

  • Partnering across organizational boundaries to deliver outcomes with other Executive Assistants and business partners

  • Organizing and structuring meeting agendas with meeting execution

  • Taking meeting minutes and tracking actions and follow-up

  • Managing and reconciling expense reports on behalf of the leaders

  • Maintaining organizational charts and email distribution lists

  • Document writing, editing, PowerPoint and readiness

  • Prioritize people and situations in need of immediate attention and response to inquiries

  • Completing tasks that are never too big or small

  • Have fun at work and help others do the same. Be a social and cultural touchpoint for a multi-center team
