The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director of Academic Administration, the Administrative Assistant works as a team member dedicated to supporting the academic and administrative work of the faculty in the Accounting Division at Columbia Business School. The physical location of this position performs on a rotational basis as needed and assigned.

Responsibilities

  • Receives and prioritizes assigned work. Provides information and updates regarding status of work and projects as needed and required.
  • Utilizes MS Office to produce high level technical documents and edits (tables, mail merges, equations, and related functions). Creates weekly presentations for class sessions.
  • Produces and distributes faculty correspondence. Works with faculty and/or the Director to compile materials and prepare academic course books as needed.
  • Assists in New Faculty Orientation, including mailing to faculty members, and assists in the preparation and set up of all orientation events. Creates, updates and maintains faculty web sites as required.
  • Responsible for all administrative duties in the office, including working with teaching assistants, arranging meetings, ordering supplies, setting up meetings, copying, etc. Collects, distributes, answers, and forwards mail for faculty on a daily basis. Responsible for organizing and maintaining faculty work. Prepares requisitions and obtains all needed office supplies for faculty. Performs duplication of materials and ensures that materials are delivered and/or received efficiently and on time.
  • Responsible for communicating and coordinating to students and other relevant population the faculty's location, teaching schedules, office hours, exams schedules and grade related information. Inputs grades, creates template models for courses, and inputs and updates files daily.
  • Consults with the Director and coordinates resources in response to all Faculty operational and/or computing difficulties. Trouble-shoots software on "how to do" problems for faculty and PhD students, diagnosing obstacles and coming up with solutions for user difficulties in Word, Excel, and advanced technical aspects of PowerPoint.
  • Coordinates and schedules meetings, conferences and seminars on behalf of and between faculty, both on and off site. Completes and processes travel and expense reports on behalf of faculty. Converts foreign expenses into U.S. monies. Follows up with the Financial Planning Office to ensure payments have been processed. Arranges travel and hotel accommodations.
  • Provides administrative support to a faculty member for the Integrative Case Initiative.
  • Performs both electronic and library research. Retrieves books, articles, and research materials from campus libraries. Proofreads articles to be submitted for publication for English and technical errors in formulas.
  • Orders books from distributors website and prepares casebooks. Ensures materials have been received.
  • Performs related work as directed by the Director and/or faculty. Performs administrative duties for faculty search committees as assigned.

Minimum Qualifications

  • High School diploma or its equivalent required. Minimum of three years related experience, or the equivalent combination of education and experience required.
  • Must have strong customer service focus and ability to work independently in a dynamic environment with changing priorities.
  • Ability to work as part of a team is necessary. Strong interpersonal, organizational, written and oral communication skills.
  • Strong computer proficiency with Windows, MS Office including, MS Word, Excel, presentation software (PowerPoint) required.
  • Ability to use scanning software and knowledge of the Internet.
  • Demonstrated ability to work with large and diverse groups in a professional manner.
  • Strong typing skills and a demonstrated ability to work with changing priorities in a busy environment.
  • Overtime may be required during peak periods.

Preferred Qualifications

  • Some college preferred. Knowledge of database software preferred.
