Robert Half Grants Administrative Assistant in Boston, Massachusetts

Description We are offering an opportunity to join our team in Boston, Massachusetts as an Administrative Assistant, primarily focused on grant administration within our organization. This role will involve collaborating with the Grants Director to manage a portfolio of grants, from the initial application process to the final closure. The successful candidate will have a key role in supporting daily grant operations, maintaining workflows, and ensuring our organization's needs are met.

Responsibilities

• Support the implementation and management of a centralized grants management system, ensuring alignment with the organization's strategy throughout the grant lifecycle.

• Maintain efficient workflows for administrative processes related to grants to meet the evolving needs of the organization.

• Coordinate daily administrative operations for grant management and support the due diligence required in the grant decision-making process.

• Assist the Grants Director in implementing software and systems that support grants management, becoming proficient in the use of the organization's grant management system.

• Collaborate with the Grants Director to deliver technical support in response to inquiries from grantees, ensuring reports are completed accurately and processed in a timely manner.

• Monitor grant spending throughout the year to ensure full utilization of awards.

• Support the grant proposal process by assembling and compiling materials and ensuring compliance with funder guidelines.

• Communicate professionally with grantees, consultants, and other staff, upholding the standards for a responsive and problem-solving oriented grant management process.

• Maintain all relevant electronic and paper files in accordance with the organization's filing, archive, and retention policies. Requirements • Must have prior experience of 3+ years as an Administrative Assistant or in a similar role

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

• Ability to handle inbound and outbound calls professionally

• Excellent customer service skills and the ability to handle customer queries efficiently

• Data entry skills with a keen eye for detail and accuracy

• Must be able to manage email correspondence effectively

• Experience in scheduling and managing appointments

• Knowledge of private and foundation grants

• Demonstrated capability in providing administrative assistance

• Good organizational and multitasking abilities

• Strong written and verbal communication skills

• Ability to work independently and as part of a team.
